Data Protection Policy

This document outlines the way in which inTank Technologies Limited handles the data you provide to us. In line with the new EU Data Protection Regulation guidelines (GDPR), due to come into force on the 25th May 2018, we will ensure that all data is processed lawfully and with full transparency. We will only store and process data for specific and legitimate purposes. The personal data we hold will be relevant and limited to what is necessary for the purpose for which we hold it. We will endeavour to keep all our data accurate and up to date.

The Data We Hold

Information held on our secure CRM Database is limited to the information you have provided us. For example, contact name, position within the company, company and email address. The CRM database collates all correspondences relating to individual enquiries, orders and invoices.

Why do we hold information?

Information is held on our database to allow us to keep a record of all equipment purchased, which includes serial numbers and specification, along with all relevant information relating to the enquiry/orders. Our CRM database is designed to improve the service we offer to our customers providing fast and accurate information. 

inTank Technologies are the UK Master Distributor for Alfa Laval Products. Therefore, customer information is forwarded to Alfa Laval for the sole purpose of delivery of goods to customers.  inTank Technologies work closely with Alfa Laval on joint marketing activities and therefore joint customer information is held by inTank Technologies and Alfa Laval.

How we keep our data secure

All our data is kept on a cloud-based server called FileCloud. The FileCloud is a secure network and complies with the following ISO accreditations.

Our database is password protected with Panda Adaptation Defence 360 which offers a high level of security and is robust with managing ransomware and malware.

Employees Procedures

All employees are fully briefed and aware of their responsibilities with regards to GDPR. Data will only be stored as outlined in this policy. All new employees will receive Data Protection training during their induction.

Subject Access Request

Any individual submitting a Subject Access Request will be provided with the personal data held on that person within one month of the request.

Request to remove personal data from database

All individuals have the option to opt-out of receiving information from inTank Technologies Limited at anytime. When receiving marketing information, please use the opt-out or unsubscribe option. For information to be removed from our CRM database, please contact inTank Technologies Limited directly and inform them either verbally or in writing that you wish for your personal details to be removed from all databases. All information will be deleted within 1 – 2  days of the request and the individual will be written to informing them of this action.
